Add fields to an existing document


Did you know that askSam can add fields to an existing document? askSam gives you the ability to insert fields into a set location inside an askSam document with one key stroke.


It's easy to insert fields into an existing document whenever you need them. Let's say you have a database of personal names and addresses. At times you would like to have some personal information such as spouse name, birthday and anniversary - but you don't want these to appear in our database on every document. Follow these simple steps...


1. Decide where you would like the new fields to appear. I would like them to appear between the Email[ and Notes[ fields.




2. Create an Entry Form containing the new fields. To do this choose VIEW -> DOCUMENT TYPES -> ENTRY FORMS. Choose ENTRY FORM -> ADD. Type in the fields that you want to add to the database. I'm adding Spouse[, Birthday[ and Anniversary[.




3. Edit the Entry Form Properties. Choose ENTRY FORM -> PROPERTIES. Assign the Entry Form a name. For example, PERSONAL INFO.




4. Choose the SETTINGS tab.

5. Select the SHORTCUT KEY option and choose ALT+1. This will allow us to automatically insert the Entry Form with one keystroke.

6. Select ADD LOCATION. The Following Menu will appear. For this example we will choose AFTER WORD OR FIELD in the INSERT AT section. Since we want the new fields to appear after the Email[ we will type Email[ in the AFTER WORD OR FIELD box.




Note: We have decided, for this example, to add the new entry form after a specific field. The other options available on this menu allow you to set the add location for a specific entry form to a variety of places. Setting this option in the Properties menu will over ride the default add location for the file for this specific entry form so that this entry will always add to the location set in this menu. The options under the ADD section allow you to set the entry form add location in the file - as a new document. The options under INSERT AT allow you to set the entry form add location into an existing document.


7. Choose OK twice.

8. Choose VIEW -> DOCUMENT TYPE -> DATA DOCUMENTS. Select YES to Save Changes if asked.

9. Return to the document where you would like to add the new fields. Press ALT+1 (or you can choose DOCUMENT -> ADD ENTRY FORM -> Personal Info). The entry form will be inserted in the proper location.
